Project Overview

The Alhambra Property Management Office previously relied on a fully manual email workflow: contacts were individually entered into Outlook folders based on tenant self-submitted forms, with no automated way to update, remove, or segment contacts. This project replaced that system end-to-end with a HubSpot CRM, delivering a dynamic, compliant, and analytics-ready email notification platform.

The Challenge: A Broken Manual System

Managing tenant communications for a commercial property campus should be straightforward β€” but the legacy process created significant operational overhead and compliance risk.

How it worked before:

  1. A tenant submitted a paper or digital form with their contact information
  2. Staff manually typed each contact into a named Outlook folder (one per building)
  3. Contacts stayed in that folder indefinitely unless manually moved
  4. Bounce-backs required staff to notice and remove addresses by hand
  5. Opt-out requests arrived via individual emails to the office

This approach did not scale, produced stale lists, and offered no visibility into whether emails were actually being read.

Existing Outlook contacts exported to .xls and bulk-imported into HubSpot, preserving all prior tenant records.

Dynamic Contact Management HubSpot’s list engine means contacts are always current. Resubmitting the sign-up form automatically updates an existing record rather than creating a duplicate β€” solving the stale-data problem that plagued Outlook folders.

Compliant Opt-Out Every email includes a one-click unsubscribe footer, meeting CAN-SPAM requirements without requiring tenants to contact the office.

Personalization Tokens Email greetings auto-populate with the tenant’s name, making mass communications feel more personal and increasing engagement.

Delivery Analytics The HubSpot dashboard tracks delivery status, open rates, and click-through rates per campaign, giving the property management team concrete feedback on communication effectiveness.

Campus-Wide Rollout The launch used a printed flyer with QR code, a Bitly short link for digital sharing, and an introductory email to the existing list β€” all inviting tenants to opt in to the new system.
